Vendor Application and Guidelines
The Scotiabank AIDS Walk for Life Toronto invites you to apply for exhibit space at the Scotiabank AIDS Walk for Life Community Fair. The event will be held at Church and Carlton Streets on Sunday, September 25, 2011. Please take note of the following information:
- The check-in desk will be open at 8:00 a.m. and exhibitors should be set up by 11:00 a.m., with an expectation to stay until 6:00 p.m.
- There are a limited number of spots available for the Community Fair. The Community Fair reserves the right to limit the number of exhibitors in any one category and the right to final decision regarding entry into the show. The Community Fair also reserves the right to limit items being sold that are in direct conflict with sponsors and fundraising initiatives.
- Deadline for applications is Friday, September 9, 2011; early bird date is August 26, 2011.
- The booth rental fee will be $225. The early bird discount rate of $175 for a booth is valid until Friday, August 26, 2011.
- A display area will consist of a 10’ x 10’ space, a 6’ table, and 2 chairs. A 10’ x 10’ tent can be rented for an additional cost of $150.00
- Payment in full is to accompany the applications with an opportunity for full refunds up to September 9, 2011. There will be no refunds after September 9, 2011. NSF cheques will be subject to a $25 service charge.
- Electricity is not available in the Community Fair. If you need electricity at your booth please use equipment with battery powered abilities or bring your own generator (where appropriate), with prior approval by AIDS Committee of Toronto (ACT).
- All exhibitors must describe in full what is being exhibited.
- All applicants must submit a self-addressed envelope with sufficient postage. If your application is not accepted, it will be returned with original payment.
- All exhibitors making sales to the public are responsible for collecting and submitting their own sales taxes.
- Each individual vendor chosen to participate is responsible to meet local public health rules and regulations for their food service to the public.
- Vendors are responsible for their own individual expenses incurred in the setting up and operation of their booth, including their own liability insurance (food booths).
- Limited motorized vehicles will be allowed in the Community Fair. Please advise if you wish to have a motorized vehicle as part of your booth.
- Event dates are rain or shine.
- The Scotiabank AIDS Walk for Life Toronto and the AIDS Committee of Toronto are not responsible for lost or damaged articles or displays, under any circumstances.
